Position Summary
The Intensive Care Follow-up Clinic at Children's Minnesota provides specialized medical and developmental services to children who were born premature or have other medical complexities, from infancy through early childhood. The Intensive Care Follow-up Clinic consists of a team of neonatologists, nurse practitioners, clinical psychologists, occupational therapists, and physical therapists.
The Administrative Assistant works both in clinic and the office setting. Provides excellent customer service, welcoming families to clinic, scheduling appointments, answering questions, and problem solving. Office tasks include filing, managing faxes and new referrals, answering the phone, ordering supplies, managing provider schedules, and other projects. The Administrative Assistant collaborates with the team and is able to work independently. Location is split between our St Paul and Minneapolis campuses.
The Administrative Assistant I facilitates the efficient operation of the designated department and/or manager(s) within the designated department by performing a variety of administrative tasks, such as:
*Answering telephones *Greeting and directing visitors *Maintaining and scheduling appointment calendars *Handling various forms of mail (i.e. paper, email, overnight express, fax) *Ordering office supplies and furnishings *Arranging for equipment repairs *Maintaining filing systems and/or computerized record keeping systems and/or databases *Completing standardized forms *Handle all confidential correspondence and inter-department communications *Perform other duties, as assigned
License/Certification/Registration required? No
Education: *High school degree or GED, required
Experience: *One-year experience in a general office setting OR completion of specialized training/certification in the administrative professional field, required *Experience in healthcare/hospital setting, preferred
Knowledge/Skills/Abilities: *Previous experience and demonstrated competency in MS Office Suite applications *Strong oral and written interpersonal, communication and organizational skills *Ability to work within a team and as an individual contributor in a fast paced, evolving work environment *Ability to deal with highly confidential information in a professional manner *Ability to work under pressure and meet tight deadlines
