Description
Under the general supervision of the Division Chief/ Medical Director, Practice Manager and Clinical Director and the assigned faculty surgeon or surgeons, the incumbent will provide administrative and scheduling support for the assigned bariatric surgery practice(s). Major duties include: coordinating new patient appointments; surgery scheduling, including coordination with co-surgeons from other departments, counseling patients on the scheduling process, and counseling patients on their financial obligations; obtaining pre-certifications /pre- authorizations, answering phone lines and triaging calls, maintaining patient records.
Additional responsibilities include coordination of the practitioner's clinic schedules, maintenance of academic and clinical calendars; coordination patients in research studies; assistance with professional correspondence; scheduling and coordination of meetings, and lectures; maintenance of curriculum vitae; provide assistance with educational events; coordination of travel and preparation of itineraries. The Administrative Assistant III must be able to multi-task effectively and execute all tasks assigned by the practitioner(s) and the Division Administrator. The incumbent may be required to travel between multiple clinical locations.
Salary Range: $28.23-$40.44
Qualifications
Required
Demonstrated basic knowledge of third-party insurances, government programs and other insurance agencies for purposes of assigning financial class codes and obtaining any necessary authorizations.
Ability to research medical diagnosis and procedure codes in CPT Code book and ICD- 9_CM code book.
Demonstrated computer skills including word-processing, use of spreadsheets and data entry.
Ability to understand and correctly use technical terminology, correctly identify, and extract data from hospital records, enter data on flow sheets or in computer and maintain study records.
Ability to communicate effectively with medical, nursing, and administrative personnel, both verbally and via written reports and memos.
Skill and experience in composing clear and understandable written memos and reports using correct grammar.
Superior typing skills to prepare correspondence, reports and other written materials with speed and accuracy.
Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload.
Ability to work flexible hours and travel to department clinics, as assigned.
Preferred
Knowledge of University's Electronic Medical Record System.
Demonstrated general knowledge of Surgery procedures and terminology,
Knowledge of UCLA School of Medicine and hospital nursing processes.
Ability to establish and maintain cooperative working relationships with physicians,
residents, research associates, fellows, students, and staff, as well as outside granting agencies.
