Job Summary
The Residency Coordinator, under the direction and supervision of the Residency Program Directors is responsible for assisting in the administration of the residency program as outlined in the Commission on Dental Accreditation (CODA) and American Dental Association, the Academy of Pediatric Dentistry, and the American Association of Oral and Maxillofacial Surgeons (AAOMS) Program Requirements. The Residency Coordinator provides administrative support and is a key knowledge resource for the to the General Practice Residency, Pediatric Dental Residency, and the Oral Maxillofacial Residency Program Directors, as well as the respective program faculty, Chief Residents, residents, and Interns. The Residency Coordinator additionally will interact with faculty, residents, institutional and regulatory administrative offices as directed by the Program Directors. Serve as liaison with other departments and affiliated institutions.
Responsibilities
Essential Duties and Responsibilities 1. Operations Management Coordinates and oversees the daily operations for the GPR, Pediatric Dentistry, and OMFS programs. This includes but is not limited to ensuring that procedures and systems support an orderly and timely workflow, maintaining and distributing resident rotation schedules, call schedules, vacation/leave schedules, and meeting schedules. Coordinates appointments, reappointments, and terminations and ensuring that all team members have the appropriate equipment to work effectively. Coordinates travel authorizations, facilitates check requests, reimbursements and expense reports and maintains necessary records for Medical Education and/or Accounting Department. Advise residents and Interns on departmental policies, ensures that all departmental Facilities and Resources are up to par. 2. Provides Administrative Support for Residents and Interns Assists with preparing presentations, abstracts, manuscripts, and other documents relating to the GPR, Pediatric Dentistry and OMFS programs. Disseminate/distribute all training-related information for residents and Interns. Prepares letters of recommendation/verification and maintains career resources for senior residents and Interns. 3. Data Management and Reporting Maintains digital files for faculty, resident, and intern credentials. Implements and updates program databases to accurately track information as needed. Compiles, updates, and submits reports to external agencies/organizations, completes surveys, questionnaires, census reports, accreditation reports and other forms and documents required. 4. Professional Development, Licensing and Credentialing Coordinates all credentialing requirements of all initial appointments for residents and interns as dictated by the primary and participating institutions as well as state licensing agency. Maintain knowledge of current licensure requirements, immigration policies, CODA accreditation, institutional, and regulatory compliance requirements to effectively arrange re-certification training courses, coordinate outside electives. Processes resident and faculty professional organization memberships Inform incoming residents and Interns of documentation required by the primary institution and state licensing board and maintains records of compliance. 5. Special Programs Assists in the coordination of programs including, Grand Rounds, to include scheduling speakers, arranging speaker's travel and accommodations, and coordinating presentations. Serves as an information source for the program, institution(s) and community. 6. Recruitment of residents and fellows: Manages the applications process for residents, fellows and interns, serving as the central source for communications and tracking candidate information. Assists in evaluating candidates, participates in the resident ranking meeting and administers and reviews post-match survey to applicants, recommends changes to improve next year's recruitment activities. 7. Knowledge, Skills & Abilities
Minimum Qualifications Education
High school diploma or GED required.
Bachelor's degree preferred.
Experience
Three years of administrative experience required.

Understands principles of record keeping and confidentiality (including HIPAA compliance). 14. Understands ERAS software and applications. 15. Able to organize, schedule, and prioritize work for self and others to meet deadlines. 16. Able to utilize interpersonal skills to work effectively with others. Computers and Technology 1. Demonstrates proficiency with computer applications, online resources and equipment utilized by the department and institution. 2.
