About Duke Health's Patient Revenue Management Organization
Pursue your passion for caring with the Patient Revenue Management Organization, which is Duke Health's fully integrated, centralized revenue cycle organization that supports the entire health system in streamlining the revenue cycle. This includes scheduling, registration, coding, billing, and other essential revenue functions.
General Description of the Job Class Responsible for the oversight of all functions within the department, including but not limited to the oversight of serving as a member of the team; subscribing to and to the vision and expectations of the Duke University Health System. Duties and Responsibilities of this Level Provide direction for the division. Promote and emulate patient-centric and customer service focus within the division. Develop the division's operating budget and goals. Responsible for the final, service, and productivity performance of the division. Proactively monitor, analyze, and, manage reports and all related documents.
Ensure the division is integrated with other departmental areas. Develop the division's operational policies, procedures, standards, and expectations, providing clear opportunities to meet direct coding edits or exceed the entity's balanced scorecard objectives and direct reports. Conduct performance reviews of direct reports; develop and mentor directly in community reports and staff. Participate incommunity and agency events. Perform other related duties incidental to the work described herein. MANAGER ROLE AND Responsibility Manager of Charge Capture and Coding# Provide lead shipping including directions for the final line, including responsibility for final line social performance in coding, trending/processing of coding edits, financial reporting, and education to staff and providers.
Financial Management 40%# Achieve PRMO Balanced Scorecard objectives related to Revenue Management Management and Coding. # Develop and monitor staff performance standards for productivity and quality models (OER)# Develop and maintain staffing models to determine FTEs needed to handle workload volumes and accomplish financial performance targets.# Develop and maintain weekly and monthly K PI reports to summarize and provide feedback on workload volumes, outsourcing vendor performance, and inventory management aging trends.# Review each direct report's weekly reports, inventories, and monthly trend analyses.# Provide guidance to direct reports in identifying deficiencies in staff and A/R management performance, and take action to address outstanding issues.# Review and approve if write-off requests are not in compliance with policy requirements.#ve writ e-off requests per PRMO policies. Provide feedback to directreporWorkdirect with vendor agencies to maximize AR performance in support of departmental oals# Collaborate with other revenue cycle departments to support all appropriate patient billing, including customer service of patients#Identify strategic and creative solutions to improve patientcollections# This will include processes include processes or methods to improve upfront collections and determinate back iningmethods periodic meetings to efficiently manage back-end collections.# Track and research operational and system issues identified and forwarded by managers, and work with other PRMO divisions to develop/implement for performance improvement.# Develop and maintain effective working relationships and periodicmeetings/communications with fellow managers across the PRM O(Registration, Billing and Collections, Finance, IT, and Customer Service ), senior leadership within the PRMO, and within-outstanding issues the relevant customer gro ups (PDC, DPC, Hospitals) to facilitate communication of resa timely outstanding issues/concerns.# All other duties as assigned.Administrativewithin outstanding.
Staff Management # 30%# Oversee manager efforts in posting, recruiting, and hiring newqualified employees in atimely manner.Approve all new hires/transfers in, including sign-off on all compensation decisions. # Ensure that appropriate orientation and relevant job-specific training are provided to all new and existing employees.# Ensure that 90-day probation period, mid-year, and year-end performance evaluations are provided to staff promptly.
Review and approve all BelowExpectations and Exceeds Expectations evaluations prior to finalization.# Post, recruit, and hire all direct report positions.# Provide appropriate orientation and relevant job-specific training to new and existing direct reports. # Meet one-on-one with each direct report at least biweekly for two-way status update performance and associated feedback.# Review and sig off on PTO implementation by direct reports.# Review and sign off on all disciplinary act ions taken bymanagers/supervisors foremployees on teams under your manag ement.# Ensure that all direct reports and associatedstaff are in compliance with all certificationand education needs.# Oversee the development and delivery of job-specific trainingprograms for all staff.# Identify a nd implement programs to develop managers/supervisors and associated staff or career development.# Attend team meetings on aregular basis to main tain rapport/contactwith staff and beavailable for questions/issues.# Maintain an open door policy to all relevant staff to address employee concerns.# Identify opportunities for improvement of staff morale, and develop/implement programs toaddress those opportunities.# Prepare and submit fo r approval an annual budget for assignedfunctions/teams.# Review actual vs. budgeted expenses on a monthly basis, and provideexplanation of variances to director # along with an action plan foraddressing any significant t negative variance.# Identify opportunities to reduce or minimize personnel and-personnel costs.# Respond to inquiries from PRMO and DUHS leadership, peers, and staff in a timely, accurate, and comprehensive manner ( generally 24-48 hours, depending on circumstances)# Provide coverage for the Director in defined business line in her/his absence.# Provide coverage for Managers/Supervisors in their absence. # Develop and maintain knowledge of all PRMO and DUHS personnel policies, and ensure consistent application of those policies within teams under your management.# All other duties as assigned.
Technical Expertise# 20% # Develop and maintain a working knowledge of all functions performed by a team under your management.# Develop and maintain a working knowledge of all core systems# Develop and main an incomplete understanding of all workflow processes, internal and operational policies, and procedures relevant to teams under your management.# Act as an expert in liaison to all compliance and regulation activities in conjunction with/ PDCand DUHS Compliance team# Develop and maintain working knowledge of personal computer software required for fulfilling man agement responsibilities, including Lotus Notes, Excel spreadsheets, Wordmanagement processing, Visio flowcharts, PowerPoint, Team Track, Change Controls, APIs, I-forms, and SAP Policy & Procedure and Internal Controls -10%# Develop and maintain documentation summarizing workflow processes, internal controls, and operating policy &procedure for all functions handled by team.# Document and review all significant changes to operational processes with the director before implementation# Ensure timely and compreh ensivecomprehensive completion of all relevant internal controls every month.# All other duties as assigned.
Minimum Qualifications
Education
BS Health Information Management, Health Informatics, and Health preferred. Administration, Finance, or related field. master's degree in Business Administration or Health Administration is
Experience
Six years of experience in the healthcare industry is required, two of the six years are supervising or coordinating coding activities.
Degrees, Licensures, Certifications
Registered Health Information Administrator (RHIA), Registered Health Information Technician (RHIT), Certified Coding Specialist (CCS), or Certified Professional Coder (CPC).
