JOB SUMMARY
We are seeking an Administrative Assistant in support of a department or group of professionals, regularly required to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.
JOB DUTIES AND RESPONSIBILITIES
Supervise, provide education, and coordinate work for three or more designated staff to support GI subspecialties as the subject matter experts.
Serve as principal source of information to direct staff including training of direct staff to support onboarding an continuing education.
Facilitation and escalation process of schedule change requests (SCR).
SCRs within 45 days are managed by the SA team.
SCRs for 45 days or more are managed by the Duke Health Access Service Team (DHAS).
Collaboration in the monitoring of the following: MaestroCare pools, including P GI ACCESS COORDINATOR.
Advise supervisor as to the status of current activities and problems; make recommendations for solution to problems identified and execute solution autonomously.
Provide input to performance appraisal process and the hiring and firing of staff.
Provide backup Staff Assistant support when needed.
Management of urgent endoscopy procedure requests sent to P GI ACCESS COORDINATORS. Including high-priority diagnoses requiring urgent scheduling within one month.
Compile and manipulate data, summarize findings and write reports or portions of reports, inclusive of review and audit of the Staff Assistant monthly provider schedule audits.
Management of specific patient requests by Gastroenterology (GI) providers to ensure exceptional care and prioritized access sent to P GI ACCESS COORDINATORS.
Management of provider block release/thaw process for endoscopy procedures, held slots, and outpatient clinic templates.
Utilization of open clinic and endoscopy procedure templates for urgent patient referrals or provider requests for established patients.
Ad Hock: Completion of special project assignments as developed by the GI Operational Leadership and assigned by management.
JOB ELIGIBILITY REQUIREMENTS
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
