The Patient Access Organization is to provide timely, convenient, and equitable access for all UCLA Health patients and the communities we serve. UCLA Health operates over 200 outpatient clinics in Southern California, with over 3,000,000 outpatient encounters annually. The Patient Access Organization aims to scale and expand its services in the coming years. The Ambulatory Scheduling Templates Manager plays a pivotal role within the Patient Access Organization to ensure that patients can access care seamlessly. Reporting to the Director for Capacity Management, the Ambulatory Scheduling Templates Manager is responsible for leading a dynamic team within the Patient Access Organization, responsible for managing the continuous alignment of ambulatory capacity against defined standards from the enterprise. This role involves overseeing the creation, implementation, and optimization of scheduling templates for the ambulatory care units. Key responsibilities include collaborating with stakeholders to understand scheduling needs, ensuring templates align with organizational goals, and managing a team to maintain accurate and efficient scheduling processes. The manager will also be instrumental in developing strategies for template improvement, staying abreast of industry best practices, and fostering a collaborative environment to enhance overall scheduling efficiency within the ambulatory enterprise. Strong leadership, communication, and organizational skills are essential for success in this role.
Qualifications
Required:
·Expert knowledge of CareConnect (Epic) cadence
·Experience with physician/clinic schedules and workflows
·Familiarity with analytical tools and software, research methods, and techniques for monitoring and evaluating data and workflows.Able to analyze complex issues and contribute to their resolution.
·Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
·Strong problem-solving abilities to address issues, identify problems, and implement effective solutions in a timely manner.
·Exceptional organizational skills with the capacity to manage multiple interrelated tasks.
·Strong interpersonal, verbal, and written communication skills.
·Ability to analyze complex information or problems objectively and draw logical conclusions to make recommendations, as well as produce substantial reports to resolve conflicts.
·Proven ability to create professional presentations, reports, correspondence, and summaries in a well-organized format.
·Ability to think proactively and work independently.
·Experience building high performing and effective teams
Preferred:
·Bachelor’s degree in healthcare administration, healthcare IT, business, or related field, and/or equivalent experience/training.
·Academic institution or large integrated health system experience
