JOB SUMMARY:
We are seeking an Analyst, IT, Sr. in our Duke Sports Sciences Institute clinic located in Durham, NC to be an integral member of the healthcare team to provide direct and indirect care to patients.
JOB DUTIES AND RESPONSIBILITIES:
STRATEGIC AND OPERATONAL
Develop, iterate, and execute the COORDS (1) strategic and operational plan for Orthopaedic Data Access and Patient-Reported Outcome (PRO) Management to achieve business, quality, and research goals
- Engage with stakeholders to understand the divisional expectations of the program and bring those expectations to the PMT in a way that strategically, technically, operationally, and financially informs the team in terms of effort and gain.
- Working with the PMT, create the implementation strategy; oversee the execution of the program; communicate clearly for overall clarity with the stakeholders regarding in-parameter plans and those that will result in fee-for-services.
- Develop and implement processes associated with research operations, collection, and analysis. Engage with stakeholders, technical experts, and regulatory guidelines during the development, implementation, and evaluation phases.
- Manage the data environment, including requests for data, prioritization, access to Orthopaedic-specific data and dashboards, quality assurance reviews of the data, request Orthopaedic-supportive updates to DTHS-maintained self-service tools, etc.
- Handle the Orthopaedic PRO environment, including managing PRO assignments/un-assignments, setting up operative series PROs with Procedure Pass, monitoring and maintaining PRO infrastructure as Duke's Epic implementation changes, managing questionnaire usage contracts, etc.
- Work closely with operational leads to ensure the accuracy of PRO collection, track collection rates, and encourage participation throughout clinic locations, leveraging skill sets needed to support a successful program
- Communicate and educate department-wide faculty/staff, providers, and leadership on PRO rollouts, consolidation of PROs and methods of distribution, quality requirements, and industry changes impacting the PRO environment
- Assist with the development of educational materials for stakeholders, including assisting with marketing for internal consumers and collaboration with identified grant partners.
- Support clinical operations leadership and clinic leadership re: PROs and other data, reporting, and analytic needs as appropriate.
- Engage with ACE and DHTS staff regarding: Epic upgrades, database changes, etc., to understand and prepare for changes as they affect Orthopaedics' PRO and data environments.
- Engage with Duke's Epic Bones TS to advocate for Orthopaedics' needs, especially as relates to PROs and MyChart functionality.
- Develop and maintain relationships across the School of Medicine, DUHS, and DHTS, to advocate for and support Orthopaedics' data needs.
- Collaborate with PT-OT/Rehab Services' PRO and data support people (clinical and research) to ensure consistent approaches to Epic build and data management/analysis.
PROJECT LEADERSHIP
- Serve as project leader, provide end-to-end strategic guidance, and manage multiple, long-term projects simultaneously
- Develop systems and/or processes that can be duplicated for additional and new data management initiatives.
- Continue development, implementation, and expansion of the program at a practice level
- Provide the tools, resources, and oversight needed for consistent data collection and reporting for quality indicators
- Counsel team leadership and senior leadership on data management strategies that support the overall goals and objectives to drive growth, excellence, and innovation in surgical methods and outcomes.
- Handle requests related to PRO collection, including hardware/software issues, tablet management, tablet onboarding, tablet troubleshooting, MyChart errors, etc.
- Document all aspects of the project to ensure redundancy in technical, operational, and aspirational project elements.
- Maintain current knowledge of institutional policies and procedures, federal and state policies and directives, and grants/contracting standards; serve as a member of the PRO Governance Committee and collaborate with the health system on institutional PRO collection; manage pilots associated with PRO collection; and adhere to best practices regarding development of a PRO collection system.
- Translate IT terms and processes so that they're understandable by laypeople. Communicate Orthopaedic's clinical needs to IT people.
TRAINING
- Provide training for users of the systems with clearly documented resources; onboard new users and field both strategic and operational inquiries, questions, concerns, etc.
- Determine the elements of process, workflow, and product that define quality, effort, and success; develop, initiate, and effectuate the tool(s) for this evaluation; ensure that the tool is used; and report results regularly to team leadership.
- Consult with the departmental communications director to provide instructional guidance to all users, stakeholders, and leaders in formats that are effective and allow for live process/procedure change information pushes.
PROJECT MANAGEMENT TEAM (PMT) GUIDANCE
- Guide steering committee in prioritization of projects and coordinate activities among the various core stakeholders including Orthopaedic faculty and staff and systems such as My Chart, Maestro Care, Procurement, ACE, etc.
- Facilitate planning and document preparation for committee meetings
- Provide expert advice on project purpose, needs, timeline, stakeholders, and intended outcomes
DIRECT DATA ANALYSIS
- Direct data analyses with faculty collaborators, including scientific direction, feasibility analysis, and project management. Set goals, objectives, and project standards and monitor performance against those standards
- Evaluate internal operations and metrics results; recommend changes when needed; initiate and evaluate the results of modifications
- Act as a resource and support to faculty
BUDGET
- Develop budget recommendations and review expenses against budget (COORDS at this time but may add additional data management programs over time)
- Seek efficiencies that will positively affect product and budget
JOB ELIGIBILITY REQUIREMENTS:
- Bachelor's degree in business, healthcare, economics, accounting, computer science, or any related quantitative field is required.
- Master's degree preferred.
- Four years of related experience.
- A Master's degree may substitute for two years of experience.
- Two years of Epic experience is required.
- Experience can be with Build or Data Models.
- EPIC Certification; SQL Programming
