Reporting to the Director of Proton Therapy, the Medical Dosimetry Manager ensures center Dosimetry staff adheres to all established practice protocols and procedures governing the effective, high quality, compassionate delivery of radiation therapy and non-diagnostic imaging services. The incumbent shall coordinate the daily treatment planning activities of the Seattle Proton Therapy Center, and will work with department leadership, radiation oncologists, Training and Development Center leadership, partner hospital Dosimetry leadership and other managers to deliver high-quality scanning/simulation services, radiation therapy treatments, introduce new technologies, minimize risk for patients and staff, improve planning efficiency, coordinate dual- modality (proton/photon) with partner facilities and ensure compliance with all Seattle Proton Therapy Center, applicable partner hospital, state and federal regulations. The Medical Dosimetry Manager is also responsible for developing computer generated radiation dose distributions, calculating radiation dose treatment times or monitoring unit settings to deliver prescribed radiation to a defined tumor volume as prescribed by the radiation oncologist. On a regular basis, the incumbent will conduct quality assurance reviews and conduct quality checks on equipment.

Responsibilities

• Implement protocols, policies and procedures for treatment planning established by the Director of Proton Therapy and the Training and Development Center (TDC).
• Ensure all staff receives training at/by/through the Training and Development Center prior to planning patients.
• Act as the liaison between partner hospital Radiation Oncology Department and the proton center as it relates to patient treatment planning, imaging, standards of care, etc.
• Actively participate in partner hospital committees, task forces etc. related to the quality and care of RT patients
• Provide supervision to Medical Dosimetry staff.
• Work with senior managers, patients, physicians, TDC and center staff to ensure quality-driven, customer-oriented work flow.
• Pursue and maintain firsthand knowledge of all technical procedures; serves as adjunct faculty at TDC as required
• Meet with TDC on a regularly scheduled basis to ensure specific and timely communication regarding the effectiveness of Dosimetry services.
• Work with Human Resources to recruit, develop and retain Dosimetry staff.
• Function as a resource in matters related to equipment / procedure safety (e.g. hazard analysis)
• Work with President and Medical Dosimetrists to provide development and corrective action plans as necessary.
• Monitor billing activities for accuracy, completeness, and compliance.
• Assign Dosimetrists to document pre / post treatment clinical and billing compliance.
• Work directly with physician in verification simulation, treatment planning procedures, and patient specific radiation dose measurements, including all electronic documentation, charting and coding in Mosaiq and patient EMR.
• Assist in calibration of equipment and radioactive sources.
• Develop computerized treatment plan, calculates treatment doses and / or monitor unit setting to deliver dose to a tumor volume as prescribed by a radiation oncologist.
• Assist in the selection, planning, fabrication and quality review and approval of treatment devices to aid in beam delivery modification.
• Implement and assist in the maintenance of the Quality System for Medical Dosimetry and record keeping.
• Utilize and document activities associated with the Seattle Proton Therapy Center's Training and Development Center's treatment planning helpdesk.
• Participate in all internal Dosimetry and multidisciplinary meetings at the center, focusing on continuous quality improvement and measurable feedback to the TDC.
• May act as teacher / instructor during orientation phases of new Dosimetry hires.
• Adhere to treatment protocol standards established by Seattle Proton Therapy Center for specific disease sites/stages/fields, and assure that documentation is thorough and captured electronically.
• Participate in the development and/or implementation of new techniques as assigned by Director.
• Work with QA Manager, QA Committee, and other center managers and, as appropriate, partner hospital staff to prepare for JCAHO, DPH or other survey events
• Conduct regular team meetings for the dissemination of information, and role development, at least monthly
• Work with physicians, and other disciplines to facilitate efficient and effective patient scheduling
• Assist President and Medical staff leadership in the development of new /additional services, equipment and facilities
• Ensure that all Dosimetrists hold current state licenses and other local, state, federal, industry certifications to treat patients; and are current on all CEU requirements
• In conjunction with Director of Proton Therapy, is responsible for preparation and administration of operating and capital budget for Dosimetry-related expenses in the Seattle Proton Therapy Center
• Monitors budget performance during the fiscal year, recommends adjustments to spending and corrects discrepancies
• Monitors Dosimetry staffing schedule to assure fiscal compliance
• Monitors billing charges entered by Dosimetry staff

Qualifications

Required:

• Graduate of Medical Dosimetry school or a graduate of hospital or college affiliated Medical Dosimetry school with clinical and classroom curriculum for duration of one year required.
• Bachelor's degree required.
• 5+ years medical dosimetry experience required.
• Certification as a Medical Dosimetrist (CMD) by the Medical Dosimetrist Certification Board
• Extensive knowledge of modern treatment planning systems, radiation therapy systems and sub-systems
• Extensive knowledge of simulation, imaging and treatment procedures
• Demonstrated ability to expertly use an Oncology Information System, such as Mosaiq (IMPAC) or Aria Excellent understanding of the non-technical activities in effect in a modern radiation oncology department, i.e. treatment delivery, quality assurance, billing
• Excellent verbal and written communication skills
• Demonstrated ability to effectively interact with all levels of the organization
• Ability to work alone or as a member of a team to achieve a variety of objectives
• Ability to adapt to an evolving and dynamic work environment
• Ability to exercise various management techniques to respond most effectively to individual staff members, medical staff and situations
• Provide excellent care for all patients, regardless of age, race, sexual orientation or religion
• Extensive knowledge of medical physics is required
• Ability to work flexible hours if needed
• Ability to travel for educational / training purposes
• Excellent computer skills
• Experience with CMS XiO preferred
• Teaching and coaching skills

Preferred:

• 5+ years of management experience in a radiation oncology department preferred.

The annual base salary range for this position is from $164,569.60 to $274,268.80 and pay offered will be based on experience and qualifications.
