Take on a key role within a world-class health organization and utilize your skills and expertise to provide important administrative support to our Computational Medicine department. The Computational Medicine department, within our David Geffen School of Medicine, provides a hub for collaborations across the UCLA campus to enable scientific discovery in biomedical data sciences and then works hand-in-hand with the UCLA Health System to apply these discoveries to improve patient care.
The Executive Assistant will provide support to several faculty members with administrative responsibilities in the Department, and has a hybrid schedule (requires at least 1-day per week of on-site work; may be more depending on department needs).
In this role you will:
Manage calendars and coordinate meetings with students, staff, faculty, and committees.
Submit requests for scientific manuscripts and data, maintaining databases, ordering supplies, and managing communication with students, faculty, and medical professionals.
Handle the logistics of meetings, including taking notes, arranging for remote participation, and sending follow-up communication to attendees.
Support visitors to the Department, including booking flights and hotel rooms, requesting visas, arranging meetings and meals, escorting visitors to meetings, and processing their reimbursements.
Work within a team to handle recruitment visits and the faculty research symposium.
Contribute to the planning of the annual Computational Genomics Summer Institute and other events throughout the year.
Assist the Program Director and Communications Manager with special projects, such as assisting with proposals and reports.
Perform other duties as assigned by management.

Salary range: $29.42 - $42.14 Hourly
Qualifications
Required:
Demonstrated skill at office management, and experience with meeting coordination, including video conferencing technology.
Excellent organizational skills and superior attention to detail.
Demonstrated timeliness, speed, efficiency, and responsiveness in performing daily tasks and assigned projects.
Demonstrated writing skills to independently compose business correspondence and meeting minutes.
Experience in managing complex calendars using Microsoft Outlook, Google Calendar, or similar electronic calendaring system.
Excellent interpersonal skills and problem solving skills.
Advanced user of word processing and spreadsheet software.
Preferred: knowledge of federal and UCLA policies regarding travel reimbursements and visas.
