The Operating Room (OR) Scheduling Coordinator 2 maintains the master list of OR schedule as well as Anesthesiology coverage. Schedules surgical patients when necessary and assists other departments in the hospital to schedule surgical time and relay patient information appropriately to the staff in Surgical Services and the Day Surgery Unit. Makes any needed changes to the schedule and contacts appropriate departments. The Coordinator also maintains access security to the surgical scheduling systems.
ESSENTIAL FUNCTIONS OF THE ROLE
Provides scheduling help to ensure department efficiency by promptly and courteously answering and screening phone calls, routing calls as appropriate, accurately recording and delivering messages to appropriate parties in a timely manner, and checking voicemail, emails, and block booking frequently.
Coordinates changes, postponements, cancellations and preferred order of cases with physicians and Surgical Services. Informs Surgical Services of possible conflicts of use of equipment in the Operating Room. Coordinates posting of cases involving multiple services and surgeons.
Monitors surgeon lineup for next day surgeries and revises as needed. Prints all paperwork for add-on cases and informs PNC of any necessary changes.
Coordinates procedures with other departments in a timely manner, accurately completing documents and forms and clearly communicating directly with surgeons. Also coordinates anesthesiology coverage of inpatient on hospital units.
Coordinates patient care planning and creates a positive experience for the patient.
Assembles, prints and distributes complete and accurate operating room schedule in final form reflecting correct order of all cases in each room. Distributes next-day and 48 hour schedule according to operative distribution list as approved by the Director of Surgical Services.
Maintains, prints and controls the printing of anesthesia tickets and operating room records, verifies diagnosis is present and correct, verifies CPT code and surgical description match to ensure proper supplies available and time needed is correct. Checks historical time against procedure.
Communicates to departments when surgery blocks returned. Releases and reassigns returned surgery blocks. Builds new blocks periodically and redistributes blocks according to utilization.
Meets with Chief to discuss block changes and stop date. Monitors starts outside the OR. Contacts block bookers with changes, makes changes to block allocation, builds blocks to correct stop date.
Coordinates anesthesia assessment unit activities with OR and outside areas such as Cath Lab, EP Lab, 3D, MRI, CT, Angio, Echo, and Labor and Delivery.
KEY SUCCESS FACTORS
Previous experience in health care revenue cycle preferred.
Requires good listening and communication skills with professional and respectful telephone etiquette.
Ability to operate basic office equipment (e.g., computer, fax, copier, scanner, and telephone).
Able to multi-task.
Able to maintain confidentiality.
Excellent data entry, numeric, typing and computer navigation skills.
Able to demonstrate precision and flexibility.
