Summary:
Applies knowledge and concepts of space resource and asset management for the planning and management of Healthcare System Organizational Property, Space, and Assets.
The Space Manager is a key role in the Facilities, Design and Construction department, responsible for space planning and management in the Health System facilities portfolio. The position has important responsibilities for project management oversight of construction, renovation, and improvement projects across a range of Health System facilities. The position works as part of a small team of Facilities space management staff and reports to the Administrative Director of Support Services.
Responsibilities:
Key Behaviors
- Captures supply and demand data for space resources and assets; prepares space allocation plans and implements the plans within organization and system mandates.
- Manages key information associated with space management, facility drawings, and workflow management within the organization.
- Maintains the current space program inventory consistent with system and organizational real property resource management requirements, making enhancements where applicable.
- Administers comprehensive strategic planning, project management, and execution for all capital projects and interior renovations.
- Manages the development of space planning solutions to address space resource needs in the areas of various Ambulatory and Clinical settings, Main Campus clinical areas, Office space, Data centers, Laboratory, Imaging, Pharmacy, and all clinical work settings.
- Actively collaborates with others on cost estimating, interior design, facilities and systems evaluation, building code evaluation, contracts & lease management, building & construction planning efforts and all aspects of space oversight.
Responsibilities:
Project Management
- Represent Onvida interests in supporting the facilities engagement with renovation, construction & space modifications of all departments and programs
- Represent Onvida in work with Facilities Management, Architect, consultants, and contractors
- Arrange, manage, and maintain relevant relationships within the Facilities Construction and Design and key stake holders across Onvida, as well as with consultants and contractors to support Onvida facilities needs
- Review project proposals and budgets and assist coordination and direction in conjunction with the Administrative Director of Support Services.
- Analyze and address issues that have the potential to jeopardize project success
- Proactively identify needed changes in work scope and ensure appropriate planning measures are taken to assess, renegotiate, and amend projects as required
- Assist Managing budgets and expenditures related to facilities maintenance and improvements
Space Management
- Work with the Onvida Health System, and Executive Organizational leadership to organize, manage, and track Onvida space assignments and use of space.
- Plan for and manage Onvida Health system space needs for instructional space, research space, and office space
- Develop needs assessments, long-range space planning, modeling and data analysis
- Support negotiation and implementation of space assignments
- Develop and execute phasing plans for relocation based on physical space requirements
General
- Maintain effective communication within the A&S Deans Office, with A&S departments, and project team members
- Interact with colleagues and consultants in a manner that builds productive relationships
- Initiate improvements for processes as related to space planning, facilities and associated business areas
- Deals with move requests and new leases
- Participates in office downsizing or closing
- Ensures space data is accurate
- Makes sure that chargeback costs are allocated correctly
- Runs reports to verify data quality and makes corrections
- Runs reports for ad-hoc space data requests from executives and business leaders
- Provides information for executive reports and advises Onvida departments on space strategy
- Sends out space data to Onvida departments for the strategic requirements and plans for next year
- Optimizes space utilization
- Plans space to meet business objectives
- Manages day-to-day organizational space assignments and chargebacks
- Advises Onvida key stakeholders about utilization improvements and planning options
- Assigns and manages task assignments
- Reviews day-to-day and longer-term metrics for the team and handles performance that is outside of the defined thresholds
Education
Essential: BACHELOR'S DEGREE
Other information
Minimum Requirements:
- Education: Bachelor's degree.
- Experience: At least two years of experience in planning, design and development, architecture, historical preservation/conservation. Master's degree will be considered in lieu of experience.
- Licensure: Professional registration in architecture or engineering is desirable. Certification as a LEED Accredited Professional may be beneficial.

- Strong communication skills, verbal and written, for effectively communicating within all levels of the organization
