Join our Venice Family Clinic as an Operations Assistant for External Affairs, and use your expertise to grow your career while making a difference in the communities we serve. This administrative officer role will receive guidance and direction from the Associate Director of Advancement Services, and will provide administrative and project support to our Venice Family Clinic’s External Affairs Office. The Operations Assistant will serve as a key contact for internal and external constituents regarding Venice Family Clinic’s fundraising and communications efforts, manage data and correspondence, and assist with the coordination of cross-functional projects across the department.
Responsibilities include managing workflow across the department and coordinating the flow of work through the Chief External Affairs Officer’s office by prioritizing correspondence, scheduling and managing calendar(s), coordinating meetings, assisting with visiting guests, and facilitating communications between the Chief and direct reports, Board members and donors. Under the direction of the Associate Director of Advancement Services, the Operations Assistant will also provide administrative support for gift documentation, correspondence, and data entry.

Salary range: $31.20 - $49.77 Hourly
Qualifications
We are seeking a mission-driven, results-driven, and community oriented candidate with:
A Bachelor’s degree
At least 5 years of administrative and development work experience.
Excellent calendar management skills, including the coordination of complex meetings.
Proficiency with Microsoft Office software and knowledge of (or aptitude for) learning new programs such as Salesforce.
Skill in determining matters of importance and information of use to the executive, and exercising initiative in accomplishing or referring tasks.
Strong interpersonal skills and customer service skills; ability to establish productive working relationships with all levels of organization (staff, funders, board members and volunteers) and ability to work as part of a team.
Superior written and verbal communication skills to convey information with accuracy and diplomacy; excellent editing and proofreading skills.
Strong organizational and multi-tasking skills; ability to think critically in a fast-paced environment and proficiency in prioritizing assignments to complete projects and tasks in a timely and thorough manner.
Ability to work independently, take initiative and handle details in a thorough and timely manner.
Ability to work evenings and weekends, and travel as needed; possess a California driver’s license, car, and proof of auto insurance.
