The role you’ll contribute:
Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. The Guest Services Specialist position is fundamental to The Bartch Transplant House and Circle of Friends Homes as it presents the first and most important impression of our organization to guests and visitors. As the first point of contact, Guest Services explains house policies and procedures to new visitors and guests along with other clerical duties. Team member participates in house activities and events when possible during business hours. Guest Services Specialist assists in tracking and communicating occupancy statistics, paperwork and bookkeeping as needed.

• Performs house duties including, but not limited to, greeting guests, checking in-out, taking reservations, collecting payment/donations, answering phones, selling stamps and other gift items, cashing deposits at the hospital, arranging shuttle transportation, picking up donated food items as needed, sorting and distributing mail. • Interacts professionally and compassionately with all guests and staff; provides positive, welcoming, healing and mission driven environment for all and assistance with wayfinding and accommodations. • Explains and enforces house policies, procedures and rules for staying at the home to guests. • Manages inventory of all non-monetary donations (food, supplies, etc.). • Ensure kitchen area is kept stocked and clean; ensure front desk, office, and storage supply areas are kept stocked and clean; free of clutter. • Assists with training volunteers, house activities, projects and events as needed and assigned. • Maintains house cleanliness and laundry for turnover of rooms. • Serves as backup resource for other duties of the house and shift coverage as needed. • Other duties related to home operations and serving guests as assigned
Qualifications
The expertise and experiences you’ll need to succeed:
KNOWLEDGE AND SKILLS REQUIRED: • Knowledge of software applications: Microsoft Word, Excel, PowerPoint, etc. • Ability to maintain databases. • Interacts professionally with staff and guests. Provides a positive welcoming attitude to all. • Ability to multitask in a fast pace, limited staff environment. • Strong communication skills with ability to understand written and verbal instructions. • Self-motivated, detail-orientated and organized; ability to work independently and as a team. • Respects and maintain confidentially of all guests, staff, and volunteers. • Good listening skills. • Ability to be friendly, tactful, compassionate, and able to cope with and offer comfort to people in periods of intense emotion and stress, yet able to remain objective.
KNOWLEDGE AND SKILLS PREFERRED: • Organizational and problem solving skills • Point of Sales and Customer Relationship Management (CRM) software EDUCATION AND EXPERIENCE REQUIRED: • 1-2 years of customer service or hospitality experience
EDUCATION AND EXPERIENCE PREFERRED: • Associate degree in Hospitality Management, Business, Communications or related field • 1-3 years of experience in hospitality management, business, communications or related field or • 2 years of experience as office, hotel, or guest services receptionist
