DH OBHS MENTAL HEALTH PAV LThe following positions within Inpatient Adolescent Psychiatry, Inpatient Adult Psychiatry, Psychiatric Emergency Services, CARES, and Outpatient Behavioral Health Services are offering the opportunity to enroll in a new program offering a cash incentive to recognize your work treating patients with substance use disorders. This program is sponsored through the ACCESS (Advancing Careers, Competencies, and Equity in Substance Treatment Services) grant. Employees must be >0.6 FTE to be eligible. 50% of the bonus will be received 90 days after signing the program contract.

Under minimal supervision, the OBHS Staff and Psychology Education Coordinator is responsible for the day-to-day administrative coordination of the OBHS psychology training program consistent with the American Psychological Association (APA) Standards of Accreditation (SoA). In addition, the Coordinator helps provide broader administrative support for the department. Within the scope of their role, the OBHS Staff and Psychology Education Coordinator supports the Training Director and Associate Training Director(s) of the psychology training program, and provides support to faculty, residents, practicum students, and fellows. The Coordinator additionally will interact with institutional and regulatory administrative offices as directed by the Training Director and Associate Training Directors. Psychology training program activities include but are not limited to student and faculty template building in the electronic medical record, scheduling didactics/training activities, and clerical support to the training director(s). The Coordinator is a department liaison to other collaborating DH departments and clinical supervisors. The Coordinator responds to student questions and refers student issues to the appropriate individual. OBHS staff support activities include but are not limited to clerical duties such as word processing, data entry, preparing PowerPoint presentations, maintaining departmental files, and other similar duties. The coordinator attends select departmental meetings as assigned, takes minutes and distributes minutes in draft and final form.
Essential Functions:
Manages complex student and faculty scheduling for clinical and didactic experiences. This requires regular coordination and distribution of schedules, and continuous updates and communication with relevant parties. This also includes coordination with training directors and other psychology training leaders to maintain and distribute resident rotation schedules, vacation/leave schedules, and meeting schedules. Coordination of the didactic schedules for orientation and throughout the training year including scheduling of speakers, coordination of logistics, collection and compilation of student evaluations. (15%)
faculty, and program using appropriate online systems or other approved data collection methods, and compiles and generates feedback for appropriate follow-up and reporting. Develops and maintains a tracking system of student requirements. Reviews for quality assurance and directs any identified problems and solutions to the training director(s). (15%)
Maintains shared folders/documents to include necessary records for APA, APPIC, grant funding agencies, and other entities to whom reports are required; biographical information on all residents and update information on alumni; recruitment materials (e.g., application review and interview forms); and confidential resident and fellow files in accordance with American Psychological Association (APA) Standards of Accreditation (SoA) requirements. Handle highly confidential material for residency, fellowship, faculty, and institution. (15%)
Coordinates all aspects of resident interviews and communications with applicants. Manages review of residency applications using the APPIC approved system as directed by the training director(s). Tracks all evaluation scores of interviewed applicants and prepare data for match rank list. (20%)
Serves as an information source for the program, institution(s), and community. Liaison to administrative staff with the Office of Education and within each collaborating department at DH. Coordinates communication between applicants and program via e-mails, telephone and written correspondence. Advises student and faculty on departmental, programmatic, and institutional policies. (5%)
Informs incoming residents of documentation required by the primary institution and maintains records of compliance. Assists with onboarding and off-boarding activities in collaboration with training director(s), Human Resources, Office of Education, and other relevant departments.This includes resident/fellow appointment and reappointment processes (if applicable) consistent with Medical Staff Office policies, preparation and monitoring resident completion and/or termination process, organization of student activities at DH including scrub access, IT access and badging, voicemail, parking, etc. (5%)
Prepares, tracks, and maintains documentation such as letters of verification, welcome letters, progress letters, completion letters, etc. (5%)
Coordinates social and retreat activities for residents and faculty. Clerical support to the training director(s), department liaisons, and training subcommittees. Attends resident meetings and records, stores, and distributes minutes as appropriate. (5%)
Supports the OBHS department including attendance in select departmental meetings as assigned and recording, storing, and distributing minutes, as appropriate. Assists with record keeping, arranges for repair and maintenance of office equipment, liaisons with IT team to troubleshoot issues, collects and enters data for monthly reports. (5%)
Assists with creating and maintaining OBHS electronic health record templates for both staff clinicians and students, as applicable. (5%)
Maintains departmental files including documentation procedures for onboarding and offboarding of OBHS staff. (5%)
Education:
High School Diploma or GED Required
Work Experience:
1-3 years One to three years relevant work experience (e.g., healthcare or professional clerical experience) Required and
1-3 years Relevant work experience: coordinating and managing education programs in medical field preferred, but not required and
