The role you’ll contribute: This dynamic role will be the linchpin in ensuring the seamless operation of our department, merging the essential functions of a Medical Assistant and an Executive Assistant. Responsibilities will span the delivery of patient care in an office setting, encompassing clerical, reception, and patient access support. This includes assisting nurse coordinators with office operations, such as scheduling outpatient testing, conducting post-procedure follow-up phone calls, and ensuring compliance through record management and insurance verification. Simultaneously, this role is responsible for supporting our executives and department directors by scheduling appointments, coordinating meetings and travel arrangements, and preparing a wide range of reports. Maintaining the confidentiality of sensitive files and records is paramount. Your versatility extends to composing letters and correspondence while providing exceptional customer service. Moreover, you may assist with project management, budget planning, statistical reporting, and other data-related tasks, all while nurturing professional relationships that honor respect for all. This hybrid role plays a pivotal part in the efficient functioning of our department.
The value you’ll bring to the team:
·Maintains all communications for the Executive and department including written correspondence and telephone contacts. Drafts documents as requested. ·Coordinates and maintains the Executive’s calendar for meetings and appointments to provide optimal utilization of the executive’s time. ·Position works collaboratively with other administrative staff throughout the hospital system, the community, etc. ·Fields all departmental phone calls, provides appropriate trouble shooting and routes caller appropriately; screens all department mail, reduces paper flow and manages all follow-up correspondence. ·May assist with developing the annual operating budgets and supports the strategic planning process. ·Maintains the department invoice process including receiving, validating, filing and processing invoices for payment. Assists with trouble shooting on invoices and helps prepare monthly expense reports. ·Maintains department supplies and orders supplies within budgeted dollars. Encourages and demonstrates teamwork by pulling charts, following up on results, answering phones, and communicating with patients and physician offices.
Qualifications
The expertise and experiences you’ll need to succeed: ·High school diploma ·Five years of secretarial/administrative experience ·Completion of accredited course in Medial Assisting or Licenses Practical Nurse ·Minimum of ten years Medical Assistant experience in a physician office and experience with Medical Front Office functions. ·CMA or RMA Certification ·BLS
