Overview
Duties include but are not limited to: Organizes daily workflow and monitors productivity. Oversees workflow and schedule in the absence of Storeroom Manager. Assures compliance of regulatory and safety standards as well an inventory documentation. Trains and mentors new staff members, assists with departmental training and acts daily as a resource person. Manages and maintains Wave mark 2-bin inventory system, trains new employees on system. Works with vendor to troubleshoot any issue. Works directly with department Manager, Inventory Control Specialist and Nursing Supervisors to monitor and improve functions of 2-bin system. Helps to oversee receiving, storage and distribution of supplies. Responds to Code HICS and emergency events requiring supplies, including snowstorms and other related events. Responds to emergency backorder and helps in locating supplies as needed from other departments or outside sources. provides professional expertise, helps to improve and build the department team reputation for being a support service. Assigned to special projects. Assists department Manager as needed and performs other duties as required.
This position will require access to legend and non-legend drugs and will require ethical standards related to medication storage and security. The security and storage requirements must be maintained at all times to prevent diversion from the organization as well as ensuring product integrity.
Responsibilities
Demonstrates ability to plan and organize workflow to maximize productivity while maintaining quality, safety and customer satisfaction. Assists in the development of systems to implement and monitor process improvements and take action where appropriate. Ensures team members maintain departmental policies/procedures, and adhere to all quality, safety, and regulatory standards/requirements. Supports department by monitoring regulatory/accreditation compliance. Takes actions to address deficiencies as appropriate Trains new and current team members and students. Ensures that orientation and training checklists are completed. Makes sure that annual mandatory education is completed, and competencies are assessed and documented Provides feedback to leadership about team members' performance, including need for coaching, counseling, disciplinary action. Assists leadership in completing initial and annual performance appraisals. Recommends/Assists with the preparation of departmental training and education, quality and safety programs and performance improvement projects. Acts as resource person for daily operations within the department, section or unit. Very knowledgeable about the specific aspects/technical details of the job, and readily share knowledge with others. Participates in the interview process and provides feedback on candidates. Audits exchange carts, par level stock areas and stock on hand; removes outdated sterile or other unused supplies on a routine basis and returns them to distribution or stores for disposition. Responsible for maintaining the supply support system in patient care areas. Inventories and restocks all carts and par level storage areas efficiently, accurately and punctually Maintains adequate stock of supplies in Distribution to resupply exchange carts and par level stocking areas. Obtains supplies as needed through stores Accurately prepares and processes inventory documentation, i.e., stock issue requisitions, return to stock credits. Pulls orders and delivers to requesting department. Uses good storage and distribution techniques. Ensures proper location of supplies in all supply/cart areas. Properly documents, identifies and rotates stock. Removes outdated materials from supply areas; notifies manager for disposition. Recommends changes in stock levels to manager. Accurately applies charge codes to supplies and prepares documents for charging supplies to patient accounts. Assures that all chargeable supplies have stickers. Receives incoming materials, supplies and equipment, verifies accuracy of shipment and accepts or rejects shipment. Inspects shipments for damages or defects; records discrepancies or damages and notifies the supervisor and/or purchasing staff. Holds all damaged goods, shipping cartons, crates, etc., until any claims can be resolved. Puts away stock and delivers orders to requesting departments Ships out packages using Federal Express, UPS, and other sources. Maintains shipping records. Follows up to make sure the packages are picked up by the shipping vendor. Manages, maintains par levels and trains new users on the 2-bin system. Makes, or directs other users to make, any necessary updates to bin labels and par levels. Works directly with the Storeroom Manager and Inventory Control Specialist to improve process of 2-bin system. Manages requests from Nurse Managers for changes to 2-bin system. Oversees daily workflow and schedule maintenance in the absence of Storeroom Manager. In the absence of both the Inventory Specialist and the Manager, Lead Tech will enter manual / paper requisitions into Lawson. Issues patient care equipment and assures the equipment is documented and tracked to the using location. Assists Inventory Specialist with cycle counts Performs other duties as required. As part of the support services in the hospital, team members may be asked to help with duties that are not part of the normal task or daily routine.
Qualifications
Three years' experience working with patient care supplies and equipment. An understanding of the use/purpose of Medical/Surgical supplies and equipment helpful; experience with storage and distribution of supplies. Proficient in use and management of Wave mark 2-bin system. Five years' experience working with patient care supplies and equipment. An understanding of the use/purpose of Medical/Surgical supplies and equipment helpful; experience with storage and distribution of supplies. Proficient in use and management of Wave mark 2-bin system. Ability to work independently in a quick and professional manner. Ability to communicate well and expediently handle needs of all departments is required. Excellent computer skills.
