The person in this position will serve as the primary administrative assistant to the DMH + UCLA Public Mental Health Partnership (PMHP) Director. They will assist with the creation and management of materials, communication, and task tracking for the PMHP Director in support of efforts to meet PMHP aims. In addition, the incumbent will provide supplemental administrative support for other PMHP Cores (Administrative, Technical Assistance, Media, Data, and Training) to further support PMHP aims. The incumbent will be supervised by the Center Director and Administrator.
Director Support (60%)
- Under the direction of the PMHP Director, create figures, tables, PowerPoint slides, handouts, and other materials
- Under the direction of the PMHP Director, assist with formatting and editing manuscripts, reports, presentations, grant proposals, multimedia, and other materials
- Support Executive Admin Coordinator in Directors calendar management, including coordinating schedules via email and creating Doodle polls
- Assist Director to manage submission and tracking of travel requests and other reimbursements
- Other administrative duties as requested by Director
Team Support (40%)
- Support data collection and organization efforts, including using existing Excel templates to create forms
- Under direction of respective project leads, create agendas, take notes, and/or follow up on action items during meetings, focus groups, or other forums as requested
- Conduct literature review searches when requested
- Assist in maintenance of teams EndNote reference library
- Provide administrative support for Continuing Education (CE) applications
- Respond to internal and external inquiries in a timely manner
- Assist Admin Core team with purchasing and travel requests, including, but not limited to, collecting documents and tracking requests
- Under the direction of the different PMHP Core leads, assist with formatting and editing manuscripts, reports, presentations, grant proposals, multimedia, and other materials
- Proficiency with MS Office software, including Word and Excel
- Excellent typing skills
- Ability to communicate well with a broad array of people, including but not limited to faculty, staff, administrators, and community stakeholders
- Skills in editing for spelling, punctuation, grammar, and syntax
- Ability to prioritize assignments to complete work in a timely and accurate manner
- Ability to work efficiently and accurately with minimal supervision
- Able to take initiative and request clarification and assistance
- Professional demeanor and capacity to handle confidential and/or sensitive information
- Bachelors Degree (Preferred)
