Summary: Responsible for directing, organizing and controlling project activities, under the direction of the Chief of the Division of Nephrology and Hypertension. This position spends >50% of time worked on managing projects. Works with project team members to gather and evaluate project needs, develop and adhere to project timelines, and coordinate project-related meetings and activities. Supports the Division Chief in preparing and editing reports, presentations, and correspondences and assists with coordinating the Division Chief's schedule.
Responsibilities:
Assists Division Chief in developing a comprehensive workflow process for projects. Reviews project proposal and deliverables with Division Chief and other related departments that will be involved to determine proper lead time.
Maintains communication with project members to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process.
Monitors and modifies project schedule as assigned. Develops and maintains project performance databases that track overall progress and achievement of milestones.
Maintains document control, database management, tracks project activities and team communication.
Directs project correspondences by preparing memos, meeting minutes, and emails.
Prepares and edits complex reports, presentations, and charts, using standardized formats, that best depict content of intended message to internal and external stakeholders.
Schedules project follow up meetings as needed. Develops and publishes communications to project stakeholders.
Performs complex scheduling of project meetings, often including a series of coordinated meetings and/or ensuring particular time and attendance parameters are met.
Coordinates the administration and scheduling of a variety of professional meetings, seminars, and conferences. Coordinates the planning and logistical arrangements for special events, including travel arrangements and expense reports.
Attends and prepares minutes for administrative meetings of the Division Chief.
Assists with coordinating the Division Chief's schedule, helping to ensure the schedule is followed and respected.
Understands the Division goals and priorities of the Division Chief, in order to prioritize issues according to urgency.
May supervise subordinate clerical staff.
Other Information
Education Requirements:
Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.
If an Associate's degree, three (3) years of experience in an administrative support role and/or projects-related support required.
If a high school diploma/GED, seven (7) years of experience providing project-related support required.

Proficient with MS Office, Word, Excel, PowerPoint, MS Teams
Proficient with database development and management
Interest and ability to learn new software, programs, and processes
