Overview
Reporting directly to the Foundation's President/CEO is responsible for supporting the President/CEO and Director of Development with setting up appointments, handling and proofing correspondence, organizing meetings, answering phones, submitting work orders and tech requests as well as taking care of various administrative tasks. The EA also supports the Foundation team with similar tasks, including mailings, events, ordering supplies, setting up cleaning schedule, and establishing volunteer schedules.
Responsibilities
Provides all administrative and technical support for the Foundation's President/CEO and Director of Development. Responsible for the preparation and distribution of communications originating from the President/CEO and Director of Development. Schedules meetings and appointments, coordinating logistics and calendars. Attend and organize Foundation Board meetings, take minutes, prepare materials, load information into Board Effects. Maintain and update Board terms of service, bylaws and policies. Coordinate office volunteers regarding mailings, house events, and special projects. Support the Foundation's Event Coordinator by mailing invitations, attending events, assisting with registration, set up, and break down; and other duties as needed. Work with the Annual Fund and Grant Coordinator to proof all grant requests and annual fund materials. Assist the Development Team in maintaining a donors stewardship plan and schedule. Help with creating and sending thank you letters, prepare various correspondence, create marketing materials and work on writing projects. Works collaboratively with Events, Annual Fund/Grants and Donor Relations Coordinators with new and updated content for the website and social media. Responsible for proofing and editing website. Maintain Foundation calendar and general email account. Perform all other duties as assigned by the President/CEO and Director of Development.
Qualifications
Three or more years executive assistant and computer experience. Microsoft Word, Excel, and Power Point experience required.
Associates degree or equivalent education/experience.
Raiser's Edge experience preferred.
Exercises initiative and independent judgment. Able to multi-task, be highly organized, and flexible to change. Excellent communication and writing skills.

Beebe Healthcare serves the Sussex County community with a medical center located in beautiful, historic Lewes, Delaware, and convenient outpatient locations throughout the county. Founded in 1916 by two physician brothers, Drs. James Beebe and Richard C. Beebe, the medical center in Lewes is a 210-licensed-bed, not-for-profit seaside community hospital. Beebe's specialized service lines include cardiac and vascular, surgical services, oncology, women's health, and orthopaedic services. Beebe offers an array of inpatient, outpatient, emergency, and diagnostic services.
Beebe's five satellite campuses offer imaging, physical rehabilitation, and lab services, as well as walk-in care centers. In addition, Beebe offers Wound Healing & Hyperbaric Medicine and Diabetes Management & Medical Nutrition Therapy.
With a mission to serve the community, Beebe also offers many free screenings and outreach programs through its Population Health Department; and advanced medical care for those who are recuperating at home through Beebe Home Care Services.
Beebe is also training the next generation of nurses through the Margaret H. Rollins School of Nursing, located behind the Medical Cente...r in Lewes.
Beebe's Medical Staff has grown tremendously since the early 1990s. Employed physicians through Beebe Medical Group and our affiliated physicians on Beebe's Medical Staff now serve patients from Milford to Millville in specialties including cardiac surgery, dermatology, endocrinology, family practice, gastroenterology, general surgery, internal medicine, pediatric neurology, and surgical oncology.
