General Description of the Job Class
Serve as a key team member, supporting the Senior Vice President and Chief Financial Officer DUHS, keeping the CFO focused, organized, informed and on task with key initiatives, expected deliverables and anticipated assignments. Must be able to manage at the strategic and tactical levels, understanding the relationship and breadth of requirements, while ensuring that necessary details are properly attended. Ensures timely flow of information to and from the CFO's office.
Duties and Responsibilities of this Level
Reports directly to the SVP/CFO and is a key member of the executive office. Specific duties include (but are not limited to) consistently:
Establishing oneself as the primary and credible representative of the office of the CFO, both internally and externally.
Understanding the organization's priorities and working with the Financial Leadership Team as well as key stakeholders to deliver, monitor, and communicate progress on the successful achievement of goals.
Managing the CFO's calendar, events, and travel schedule; aligning the leader's time with the priorities at a strategic level.
Handling daily office operations, including the creation or streamlining of systems and processes; making recommendations and proactively addressing issues as it relates to office maintenance, security, and employee safety.
Supporting the CFO and Financial Leadership Team in the planning and preparation of deliverables for the DUHS Board of Director's Meetings, Finance Committee, Compliance/Audit Committee, and special Board retreats.
Coordinating, planning, and preparing agendas for events, town hall meetings, and leadership team retreats. Coordinate internal training opportunities for finance staff.
Support talent management by identifying and engaging high-performers; providing opportunities for interaction with CFO and finance leadership team; coordinate internal training opportunities for finance staff.
Preparing internal communications on behalf of the CFO; developing agendas and collecting briefing materials in advance of meetings.
Coordinating travel and assisting the CFO with preparations for meetings and speaking engagements with external stakeholders, such as banks and rating agencies.
Remaining knowledgeable of upcoming projects, commitments and deliverables in order to anticipate the necessary needs, tasks, work effort, and resources required to meet/exceed expectations.
Conducting research to prepare briefs, presentations, meeting agendas, conference materials, speeches and documents as well as performing analysis in support of key deliverables.
Leading, enhancing and facilitating key projects and initiatives across Corporate Finance, ensuring the timely execution and quality of results, in order to advance forward the mission of DUHS Finance.
Assisting the leader, team members, and stakeholders with critical thinking for Health System initiatives that impact Duke Health as a whole. Review operating strategies and key developments to ensure expectations are met.
Meeting frequently with the senior leader to keep him/her abreast of key developments and ensure synchronization of expectations.
Provide communication and administrative oversight for the Durham Casualty Company, LLC; coordinate travel for all DCC Board members for the annual international Board meeting.
Maintain personnel and compensation files for CFO's direct reports.
Managing all information with discretion and confidentiality.
Understanding organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
Demonstrating the courage to challenge the norm, question the direction, and recommend innovative solutions.
Collaborating with administrative support staff to ensure accuracy, coordination and that priorities are aligned.
Performing all duties as assigned.
Minimum Qualifications
Education
Bachelor's Degree in a related field required. Master's in Business Administration, Human Resources, Communications or other related field preferred. Five years experience and a working knowledge of health care and academic medicine preferred.
Experience
Minimum of 5 years of management experience required in a highly complex, matrixed organization.
