Overview
Under the direction of the Director of Grants Management, the Grant Administrator is responsible for the administration of a portfolio of grant awards from start up to closeout. Responsible for ensuring compliance with organization and sponsored agency policies, guidelines, rules and regulations. Provides assistance to Project Directors and other grant program staff related to compliance, procurement and reporting.
Responsibilities
Financial Management
Collaborates with Finance Department for post-award financial management.
Works with various departments to assure proper stewardship of grant funds. Responds to requests and questions regarding expenditure of grant funds and budget status.
Prepares financial reports, requests cost transfers, and completes project closeouts.
Verifies the accuracy of financial records as they pertain to receipts, expenditures, and related transactions to maintain effective stewardship of grant funds.
Conducts monthly budget reviews with Grant Project Directors and teams.
Compliance
Leads efforts to develop and implement departmental and organization-wide policies and procedures to maintain compliance with funding agency regulations.
Ensures compliance with internal and external post-award policies, regulations and guidelines.
Ensures internal stakeholder understanding of grant award performance expectations, data collection and reporting.
Monitors progress in relation to award expectations and deadlines and facilitates problem resolution when necessary.
Maintains strong program monitoring, data gathering, compiling, and electronic filing systems for the project-based grants activities.
Reporting
Works with the Grant Data Coordinator to ensure accurate and timely submission of all progress, technical, and financial reports.
Prepares, edits, and/or organizes progress and status reports with program and finance teams.
Procurement
Coordinates all grant funded procurements to ensure they are compliant with internal and external policies and regulations.
Works with internal departments and outside vendors as required to complete complex or large procurements.
Contract Management
Prepares requests for award amendments, communicating and responding to changes in grant activity requiring prior approval.
Reviews award terms and conditions and prepares summaries and/or tracking tools.
As needed, interfaces with collaborating and funding organizations to prepare documents, negotiate amendments, etc.
Other
Maintains grants management application; provides training and coaching to ensure it is fully utilized.
Assist in the proposal/application development process as requested.
Trains staff on appropriate business processes and direct training on standard operating procedures for grant funded programs.
Works collaboratively and when needed and independently be able to resolve problems with minimal supervision.
Qualifications
Ability to analyze and interpret which policies and procedures apply to a given situation
Ability to perform internal review of procedures to ensure compliance with the Office of Management and Budget's (OMB) Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards 2 CFR 200 (commonly called "Uniform Guidance), required.
Knowledge of grant program allowable spending provisions and related terminology (e.g. supplement vs supplant).
Advanced level proficiency in Microsoft 365 applications including Excel, Word and Teams.
Excellent organizational skills, attention to detail, and ability to monitor complex compliance requirements.
Ability to work independently and as a team member, research and resolve problems, meet deadlines, and follow through on assignments with minimal direction.
Independent judgment and strong organization and communication skills and customer service focus.
Credentials
Education
Associate's degree in finance, accounting, business administration, public administration, information technology or related field; bachelors preferred
2 years of related experience
Experience in post-award grant management and related activities (preferably in a healthcare setting)
Certified Grant Management Specialist (CGMS) or related certification preferred

Employed physicians through Beebe Medical Group and our affiliated physicians on Beebe's Medical Staff now serve patients from Milford to Millville in specialties including cardiac surgery, dermatology, endocrinology, family practice, gastroenterology, general surgery, internal medicine, pediatric neurology, and surgical oncology.
