The Talent Strategies Team at BJC HealthCare provides a full range of talent acquisition and recruitment support activities for BJC HealthCare across 15 hospitals and community health locations. By acting as a strategic resource for BJC hiring leaders and building strong relationships with internal and external customers, applicants and candidates, the Talent Strategies Team consultants and advises on best practices for bringing talent into the organization, supporting candidates through the hiring process and delivering an optimal candidate experience.

Role Purpose
The Candidate Experience Coordinator (CEC) is a HR professional position that manages the BJC-wide candidate to employee hiring process. They work directly with Talent Advisors (Recruiting), HR Business Partners (HRBP), Legal, Occupational Health, Hiring Managers, and the candidate, to ensure a seamless and successful on-boarding to BJC that complies with federal, state, local, BJC legal requirements and patient safety.
Responsibilities
Review offers for completion and accuracy of sign on bonus, relocation, and other incentive payouts. Create offer letter and ensure all language and payouts are accurate. Review start date for feasibility & alignment to NEO. Inform TA prior to sending Offer Letter if edits are needed.
Partner with TAs to ensure best practices and process for hiring are observed. Schedule panel interview and shadowing sessions as requested. Inform candidates of policies regarding travel requests, expenses, and reimbursements. Communicate to candidates regarding process, expectations, timelines, and requirements of employment. Understand preemployment workflow and tools, ensure accuracy and compliance based on job requirements and organizational practices.
Communicate requirements for onboarding to candidate. Initiate background check, ensuring correct package, reviewing results, escalate issues for resolution/recommendations, report incorrectly mapped background packages based on MQ’s. Process I-9 documents and appropriate Identifiers, ensure workers are eligible to work in the US. Schedule Occupational Health appointments, provide information on BJC vaccination requirements and documents required to complete OH appointment. Schedules follow up appointments if needed to clear the candidate. Verify candidate has completed all necessary onboarding tasks assigned prior to moving to hired. Inform candidates that do not meet BJC pre-employment requirements that their offer has been rescinded. Follow appropriate notification and adverse action workflows.
Provide HSO reports (badging, onboarding packet, photos) by following iCIMS processes. Add appropriate badge credentials based on verified minimum qualification requirements. Align to HSO specific NEO and clinical orientation dates. Notify TA and NEO coordinators of last-minute changes to NEO roster. Provides direction to candidates on hospital specific location and parking. Attends weekly centralized NEO to assist with check-in and other functions.
Monitor system compliance by checking the accuracy of information and the appropriate fields have been completed. Adhere to the CEC Standard Operating Agreement. Escalates issues to Supervisor when appropriate and collaborates to resolve situations. Verify accurate clearance for new hires and transfers.
