About the opportunity:
The Intake & Admissions Coordinator facilitates the admission process for the Vail Health Emergency Department and other healthcare facilities who are seeking inpatient placement for psychiatric patients at the Precourt Healing Center (PHC). This role involves assessing patient needs, hospital capacity and capability, coordinating with healthcare providers and insurance companies, and ensuring an appropriate placement into care.
What you will do:
Promptly responds to referring healthcare facilities seeking to admit psychiatric patients to the Precourt Healing Center to ensure requests and referrals are being reviewed and assessed in a timely manner.
Conducts initial screenings for all admission requests using approved protocols to evaluate the appropriateness of inpatient placement at PHC. This includes collecting comprehensive patient histories, including medical and psychiatric information, coordination with clinical staff to evaluate capability and availability of hospital for admissions, and communication of admissions decisions to the referring facility. Maintains a daily log of incoming and pending admissions requests maintaining patient confidentiality.
Communicates effectively with the PHC team throughout the admission process. Communicates effectively with patients, providers, and colleagues via multiple modes of communication in a clear, timely and customer-service oriented manner. Resolves all non-clinical questions within scope of knowledge while providing excellent customer service on the phone and/or in person. This includes setting expectations for referring facilities, patients and/or family members regarding PHC services.
Verifies insurance benefits and obtains pre-authorizations for inpatient services when appropriate per the defined workflow.
Works closely with the hospital?s Utilization Review/Utilization Management, admissions, insurance verification, and financial advisor teams to maintain positive relationships and an efficient process to maximize patient care and business operations.
Ensures all admissions paperwork is completed, signed, and electronically documented and that paperwork is accurate and finalized in a timely manner. Establishes files, maintains information, and scans medical records in a timely and organized manner.
Performs de-escalation techniques with patients, family members and others per the provided training and ensures training remains up to date. Attends and provides feedback for departmental staff meetings. Helps to train and educate new staff.
Supports and participates in all departmental data collection, analysis, and reporting efforts as required by internal and external compliance regulations. Performs on-going documentation audits for medical necessity, plan of care, and other related tasks or requirements by payors, including Medicare, using a variety of computer-based systems.
Provides support to all onsite departments as needed. Works in various patient settings and locations in and around the Edwards Community Health Campus including supporting outpatient behavioral health services as needed, and at times from a remote location.

Must be HIPAA compliant at all times and demonstrate a proficient understanding of the sensitivity of our patient?s experience. Must adhere to hospital policies, regulations, and legal requirements.

What you will need:
Experience:
3-5 years of experience in behavioral health, clinical healthcare, hospital, or similar, required.
2+ years of supervisory experience, preferred.
Knowledge of community resources, preferred.
