General Description of the Job Class
Perform varied clerical duties in support of general and special office activities to help the nurse manager maintain an efficient and effective operation.
Work Schedule
Various work schedule options include, but are not limited to, Weekend Option Days, Weekend Option Nights, and Weekday Day, Evening, or Night shifts. Shifts can be a combination of 12 hours and 8 hours. Weekend rotations are every fourth weekend. The option is available to fill in when another staff member is off. This job is essential status, which means that attendance is expected during server weather.
Duties and Responsibilities of this Level
Meet the staffing needs of all hospitals within Duke University Health System.
Schedule or arrange activities effectively; make staffing assignments within the prescribed schedule.
Coordinate with the clinical units, Operation Administrator, and staffing office managers to determine staffing needs and to assign clinical staff to the appropriate assignments.
Document the clinical assignment using excel.
Document call-outs, and track all cancellations and absences of staff in the appropriate systems.
Contact clinical units to assign clinical staff.
Record the clinical assignments on the phone tree.
Create evening and morning bed flow reports; edit and report.
Attend bed flow meetings. Provide information regarding the availability of staff for upcoming shift(s).
Enter staff schedules into the appropriate systems
Document patient care cases on appropriate documents and file forms accordingly.
Daily reconciliation of staffing assignments for all 3 hospitals within Duke University Health System.
Verification of data on bed flow reports with identified unit Nurse Managers and Operation Administrator.
Update staffing calendar on excel spreadsheet.
Reconciliation of payroll data, such as correct cost center and special codes.
Scan bed flow and daily patient sitter cases report information to the appropriate leadership.
Perform routine clerical and typing tasks involved in processing varied office materials such as form letters, requisitions, memoranda, and reports or summaries.

Bed flow reports
Compliance reports
Daily Roster Reports to DRH and DRAL.
Prepare and/or compose routine and general correspondence in accordance with established procedures.
Performs other related duties as required.
Minimum Qualifications
Education
Work requires knowledge of basic grammar and mathematical principles normally equivalent to a high school education.
Experience
Work generally requires three months of clerical or general office support experience to become familiar with activities involved with providing routine clerical support.
