General Description of the Job Class
HIM Associate employees work in the area of document management.
Document management staff are responsible for preparing, scanning, indexing, importing, and quality assurance of medical record documents. With responsibility for the workflow in both the paper-based environment and the electronic medical record. They are responsible for communicating with physicians and their office staff, as well as other medical center staff routines.
Duties and Responsibilities of this Level
Review electronic documents scanned and imported using EDCO Solarity and Hyland OnBase to validate the correct selection of medical record number, document type, and date of service and correct as needed before marking for upload to the electronic health record. Index the document by reviewing document content and correct selection of document type, correct patient, correct CSN/encounter, and date of service. Redaction of sensitive PHI per Duke Policy. Assign blank pages and documents that are not to be included in the record; rotate pages for proper orientation while viewing. (70%)
Prepares and scans records into the document imaging system using EDCO Solarity for permanent storage of patient information. Correctly identifies all demographic information, removes erroneous documents from the patient record, and feeds documents through the scanner. (10%)
Reviews for quality of the electronic documents scanned at the point of service following indexing, using Hyla and OnBase or EDCO Solarity to validate the correct selection of document type, patient, CSN/encounter, and date of service and make corrections as needed (10 %)
Performs her duties as assigned, but not limited to sorting information sent from Duke inpatient units, capturing and accounting for non-system time, and remaining compliant with required training. ((10 %)
Knowledge, Skills, and Abilities
Working knowledge of the health record, working knowledge of privacy regulations, Basic PC proficiency; Data analysis and research skills for error correction required; Microsoft Windows and Office Suite
This is a hybrid position allowing remote work and requiring at least one day a week in the office located in RTP, NC.
Minimum Qualifications
Education
High school or GED diploma required.
Experience
1 year of experience in Health Information Management, Document Management, or healthcare-related Related Field required Associate's / Bachelor's Degree in Healthcare, Business, IT, or Related Field can substitute for 2 years experience
