Overview
The Physician Office Manager plays a vital role in ensuring the smooth operation of a vascular access medical practice by overseeing administrative, clinical, and compliance functions. This position requires strong leadership, organizational, and communication skills to manage staff, coordinate provider schedules, maintain regulatory compliance, and enhance overall patient experience. The Physician Office Manager collaborates closely with physicians, medical staff, and administrative personnel to optimize workflow and efficiency.
Responsibilities
Provider Coordination
Manage doctors' call schedules and office schedules
Coordinate meetings and appointments for providers
Track and schedule doctors' time off
Office Administration
Oversee hiring, onboarding, and training of new employees for both front office and clinical positions
Conduct employee performance reviews and ensure professional development opportunities
Manage time-off requests and ensure adequate staffing coverage
Address personnel issues and foster a positive work environment
Compliance & Regulatory Oversight
Ensure staff members maintain current certifications in ACLS/BLS
Monitor and maintain compliance with OSHA, HIPAA, and other healthcare regulations
Oversee the proper stocking and maintenance of AEDs, oxygen tanks, biohazard supplies, allergy kits, and evacuation plans
Ensure regular training in autoclave sterilization and safety protocols
Clinical Operations Support
Assist with chart preparation, patient rooming, wound care, and prescription refills
Manage EMR documentation and oversee patient phone communication
Oversee the scheduling of minor procedures, surgeries, and angiograms, including prior authorizations and pre-operative requirements
Ensure proper review of surgical instructions with patients and coordinate cardiac clearances when necessary
Maintain stock and supply orders for clinical areas
Supervise the referral process, ensuring clinical staff reviews before finalizing
Front Desk & Patient Experience Management
Oversee patient check-in, ensuring accurate insurance updates and financial reconciliation at the end of the day
Manage check-out procedures, including scheduling follow-up testing and faxing orders to external facilities
Supervise referral scheduling, ensuring timely patient communication and coordination
Ensure front office staff provide a professional and welcoming experience for patients and visitors
Qualifications
Skills
Familiarity with OSHA and HIPAA regulations
Proficiency in EMR systems, scheduling software, and medical billing procedures
Strong leadership, communication, problem-solving, and organizational skills
Credentials
Education, Experience and Certifications
3-5 years' experience in medical office management, preferrable in a vascular access or outpatient specialty practice
Bachelors degree in business administration, healthcare management, or related field preferred
