Overview
Under direct supervision, perform all duties related to registering patients being admitted to the medical center or receiving outpatient services by obtaining demographic, insurance, and medical information.
Responsibilities
Interview patients or their representatives to obtain demographic and insurance information for medical record identification and billing.
Enter patient registration information into the computer system, ensuring data accuracy.
Pre-register and activate accounts, scan relevant documents, and update the Wound Expert electronic charting system.
Prepare necessary forms for patient or representative signatures, explain them thoroughly, and ensure proper presentation.
Prepare forms for practitioner use during patient visits.
Process outpatient charts/medical records for wound care, diabetes, and nutrition.
Verify possession of current physician orders and ensure visit notes are recorded on the insurance tracking label at the front of the chart.
Confirm that authorizations are not expired; coordinate with insurance or scheduling teams for updates as needed.
Assist the assistant registrar in collecting co-pays and performing cash-out procedures.
Support patient and information flow by directing patients to correct locations, arranging transport, and answering incoming calls.
Demonstrate proficiency in Outlook scheduling and Wound Expert scheduling guidelines for new and follow-up appointments.
Maintain office equipment and supplies, alerting the supervisor to malfunctions and coordinating maintenance or repair.
Order and copy forms needed for chart preparation.
Assist in entering patient charges when necessary.
Manage medical records for Wound Care/Diabetes Management.
Respond to chart requests from patients and physician offices in accordance with Beebe policy.
Prepare charts for audits as requested by the supervisor or director.
Facilitate chart requests from the billing office or medical records department.
Notify clinical staff of new inpatient arrivals.
Prepare charts for inpatients following WCC guidelines.
Create and update electronic charts in Wound Expert, including entering History and Physical (H&P) information.
Qualifications
Previous experience in hospital registration or medical office environment, with knowledge of admitting and insurance processes.
Strong communication skills, with the ability to interact courteously and professionally with the public while embodying Beebe Values.
Ability to adapt to changes in order to meet both patient and organizational needs.
Sensitivity to difficult or emotional patient situations, maintaining professionalism and empathy.
Awareness of cultural diversity and special needs, with the ability to stay calm and perform duties in a fast-paced environment.
Proficient typing and computer skills with a keen attention to detail.
Knowledge of medical terminology required.

Employed physicians through Beebe Medical Group and our affiliated physicians on Beebe's Medical Staff now serve patients from Milford to Millville in specialties including cardiac surgery, dermatology, endocrinology, family practice, gastroenterology, general surgery, internal medicine, pediatric neurology, and surgical oncology.
